Email Aliases, Autoreplies, and Mail Forwarding

Email Aliases

An email alias is much like a forwarding address – when you receive an email at the new address, the message is automatically forwarded to your existing account. Learn more about creating email aliases.

Updating Your Preferred or From Address (Staff and faculty using Microsoft 365 only)

Staff and faculty using Microsoft 365 are able to change their “From” address which is also the email address listed in the UT Online Directory. Learn more about updating your preferred email address

Setting Auto-Reply Messages

When you will be out of the office or away from your email, it’s a good idea to set an auto-reply message. Instructions for Outlook for Windows and Mac, Outlook on the Web, and Gmail are available online.

Set Up Automated Email Forwarding (Students only)

Effective Fall 2021, only students will be able to automatically forward their university email to a personal email address. Instructions for setting up mail forwarding in Microsoft 365.

Changing your NetID/Email Password

Your NetID password is the password you use for applications such as Microsoft 365, Google, Canvas, OIT Labs, Online Pay Statements, and other NetID/Active Directory applications.

Access After Leaving or Graduating


Effective July 31, 2021, employees who leave the university in good standing will retain access to their UT email account for 30 days.


Students retain access to Volmail indefinitely after graduating or leaving the university. Before you graduate or leave the university, we encourage you to set up your Volmail password option​s BEFORE your NetID has been deleted from the UT Online Directory. Your NetID is deleted from the UT Online Directory one year after graduating or leaving the university. In the event that you forget your password or it becomes corrupted, you will be able to create a new password. Once your NetID has been deleted from the UT Directory, OIT will be unable to reset your password.

If your UT Email or Volmail account has been locked due to repeated failed login attempts, please contact the OIT HelpDesk.

Display Name


Your Display Name is the name that appears in the UT Online Directory and on your UT email. You can change your Display Name by updating your “Known As” name in IRIS (IRIS Personal Data Form). Contact your campus HR to update your name.
