Upgrading How Campus Systems Send Email: Here’s What You Need to Know

If you manage a department copier, sensor, or any application that sends automated emails—think scan-to-email, alerting, and system notification—this update is for you.
What’s changing and why
We have been working over the past several months to modernize how campus systems send email through what’s called an ‘email relay.’ This behind-the-scenes infrastructure takes an email from a device or application and gets it to its destination. Our existing relay has aged beyond its secure lifecycle, and the broader technology industry is moving away from this technology. With these factors in mind, we’ve adopted a new, cloud-based relay service that is more secure, easier to manage, and built to meet current email standards and practices. Our new system has been live since June 1 and is already handling new relay requests. Our legacy system remains available for now, with retirement plans in place for the end of the year.
What this means to you
If you have a copier, multi-function device, environmental sensor, application, server, or any campus system that sends email, it will need to be migrated to our new relay. The good news: for most devices, this is a simple configuration change within the device.
