Transition Guide for Google Apps
Between now and January 2026, the Knoxville-area Campus and Institutes will transition from Google* to Microsoft.
- OIT will help faculty and staff move their files and email to Microsoft. OIT will coordinate with colleges and departments to schedule their faculty and staff transition for email and Google Drive*.
- OIT will help students move their email to Microsoft Outlook.
*Some less-used services may be limited beginning in Spring 2025.
Gmail
Gmail is moving to Microsoft 365 Outlook.
Recommendation: OIT will move email for faculty, staff, and students from Gmail to Outlook. Visit the sites below for more information and timelines.
Drive
Google Drive is moving to Microsoft 365 OneDrive.
Recommendation: Visit the sites below for migration instructions and timelines.
Classroom
Access to Classroom will be discontinued.
Recommendation: Faculty and Staff using Google Classroom should contact OIT to discuss using Canvas for instruction.
Colab
Access to Colab will be discontinued.
Recommendation: Move your Colab files to your personal Google account.
Instructions: Sign in to Colab with your UT Google account. Select File, then Download to export your files. Once you have the files, you can upload them to your personal Google account.
Google Analytics
OIT continues to research the use of Google Analytics and will provide additional information when it is available.
Forms
Access to Forms will be discontinued.
Recommendation: Rebuild active forms using Microsoft 365 Forms.
Photos
Access to Google Photos will be discontinued.
Recommendation: Copy any photos stored in Google Photos to alternate storage and delete the copy in Google Photos. Follow the instructions on Google’s website.
Scholar and Scholar Profiles
OIT continues to research the use of Google Scholar and Scholar Profiles and will provide additional information when it is available.
YouTube
OIT continues to research the use of YouTube for colleges and departments and will update the guidance as additional information becomes available.
Recommendation for UT Channels: Official UT channels may be converted to a brand account; additional information about this process will be available soon. You do not need to take any action until the new guidelines are available.
Recommendation for personal channels: Non-university business YouTube channels should be converted to a personal account.
