The University is transitioning to Microsoft as the primary platform for collaboration and productivity tools. While Google Drive, Docs, Sheets, Slides, and Forms will remain available, they will have reduced storage quotas. However, Gmail will no longer be available after the transition. Here’s what you need to know:

Key Changes

  1. Email Transition:
    All faculty and staff email services, including mail, calendar, and contacts, are now hosted on Microsoft Outlook. Gmail accounts are no longer active.
  2. Google Storage Quotas:
    Google storage space will be significantly reduced. Faculty, staff, and departments will still have access to Google Drive and Forms, but with limited storage capacity.
  3. File Migration Support:
    If you or your group would like to move from Google Drive to Microsoft, OIT is here to help! For faculty and staff, OIT will assist in copying files from Google Drive to Microsoft 365 OneDrive. If your department requires assistance with transitioning to OneDrive, please contact us online, and our project team will contact you to discuss the timeline.

Email

Migrations from Gmail to Outlook concluded in November 2025. All emails sent to your UT email address are now delivered to Outlook only. On your migration day, OIT copied messages and events saved in Gmail and Calendar to Outlook.

Post-migration, you need to:

Please note that due to differences between the two systems and the way messages are routed, you may see some duplicate emails in Outlook. Unfortunately, this is expected and will need to be cleaned up manually.

About your Outlook email

Drive (including Docs, Sheets, Slides)

Access to Google Drive will remain available; however, Google storage space will be significantly reduced. If requested, OIT will copy files from Google Drive and Shared Drives to Microsoft.

Instructions for Faculty, Staff, and Departmental NetIDs

  • To remain under quota, OIT recommends cleaning up your Google Drive by deleting files you no longer need.
  • After the migration, you can access OneDrive and Teams online at office.com. You can also access OneDrive from Windows, Mac, iOS, and Android by following the instructions in the OIT Knowledge Base.
  • Departmental NetIDs are not eligible for Google Services, including Google Drive and Shared Drives.
