Timeline for Faculty, Staff, and Departments

After careful consideration, the university has decided to transition to Microsoft as the only university-wide platform for collaboration and productivity tools.

About the change

OIT will migrate files and Gmail to Microsoft 365 for faculty and staff. OIT will continue to evaluate other Google resources and provide guidance. In some cases, you may need to take action to move to non-Google alternatives.

Timeline

  • November – December 2024: Inform the university community about upcoming changes
  • January 2025: Contact Departments to schedule Gmail and Drive migrations
  • February 2025: Start Department/College migrations to Microsoft Outlook and OneDrive.
  • Summer 2025: Student Gmail will be moved to Outlook.
  • August 2025: All Students will use Outlook for University Email
  • January 2026: All Department/College migration to Microsoft Outlook and OneDrive completed.

Scheduling

OIT will coordinate with colleges and departments to schedule their faculty and staff transition for email and Google Drive*. We are scheduling migrations starting in February 2025.

OIT recommends academic departments transition during the summer to limit the disruption to teaching and learning. Administrative departments are encouraged to move earlier.

Email

When your account is moved from Gmail to Outlook, all emails sent to your UT email address will be delivered to Outlook. OIT will migrate messages saved in Gmail to Outlook on or after your migration day.

Drive

During the migration, OIT will copy files from Google Drive and Shared Drives to Microsoft.

Instructions for Faculty, Staff, and Departmental NetIDs

  • Before the migration, OIT recommends cleaning up your Google Drive by deleting files you no longer need.
  • After the migration, you can access OneDrive and Teams online at office.com. You can also access OneDrive from Windows, Mac, iOS, and Android by following the instructions in the OIT Knowledge Base.

Once your files have been migrated to Microsoft, do not create or update files in Google, as they will not be moved to Microsoft.
