Timeline for Faculty, Staff, and Departments

The University is transitioning to Microsoft as the primary platform for collaboration and productivity tools. While Google Drive, Docs, Sheets, Slides, and Forms will remain available, they will have reduced storage quotas. However, Gmail will no longer be available after the transition. Here’s what you need to know:

Key Changes

  1. Email Transition:
    By the end of the Fall 2025 semester, all faculty and staff email services—including mail, calendar, and contacts—will be hosted on Microsoft Outlook. Gmail accounts will no longer be active.
  2. Google Storage Quotas:
    Google storage space will be significantly reduced. Faculty, staff, and departments will still have access to Google Drive and Forms, but with limited storage capacity.
  3. File Migration Support:
    OIT is here to help! For faculty and staff, OIT will assist in copying files from Google Drive and emails from Gmail to Microsoft 365 (OneDrive and Outlook).

Timeline and Scheduling

  • June 2025: Access to Google Photos will be discontinued.
  • June 2025: Begin staff email migrations from Gmail to Outlook
  • September 2025: Begin faculty email migrations from Gmail to Outlook
  • November 2025: All faculty and staff will use Outlook for University Email.

When your account is moved from Gmail to Outlook, all emails sent to your UT email address will be delivered to Outlook only. On or after your migration day, OIT will copy messages and events saved in Gmail and Calendar to Outlook.

Please note that due to differences between the two systems and how messages are routed, you will see some duplicate emails in Outlook. Unfortunately, this is expected and will need to be cleaned up manually.

About your Outlook email

Drive

If requested, OIT will copy files from Google Drive and Shared Drives to Microsoft.

Instructions for Faculty, Staff, and Departmental NetIDs

  • Before the migration, OIT recommends cleaning up your Google Drive by deleting files you no longer need.
  • After the migration, you can access OneDrive and Teams online at office.com. You can also access OneDrive from Windows, Mac, iOS, and Android by following the instructions in the OIT Knowledge Base.

Once your files have been migrated to Microsoft, delete the contents in your Google Drive to remain below the new storage quotas.
