When should you use your UT Google Apps and Office 365
A good rule to follow is to do your UT business on UT-approved resources, including Office 365 and/or Google Apps. Your personal cloud storage accounts are not the same as your UT enterprise accounts and do not carry the same security controls that these enterprise offerings carry. Your personal Dropbox, Box, Google Drive, etc. are not authorized for storing institutional data.
The university has contracts in place with both Google and Microsoft for the use of these services. UT’s contract with Microsoft allows you to store Family Educational Rights and Privacy Act (FERPA), personally identifiable information (PII) data, and protected health information (PHI). However, the contract with Google allows you to store both FERPA and PII data, but not PHI.
