WebMail Filters "Show Me" Files

The WebMail Filters "show me" files allow you to watch videos that includes step by step instruction for setting up and testing filters within your UT WebMail Account. Filters allow you to help manage the volume of mail delivered to your Inbox. Many people use filters to eliminate unwanted mail - this would include all of the unsolicited junk or spam e-mail.

Setting up Filters in WebMail. This video demonstrates setting up three filters. First you'll learn how to discard mail based on key words in the subject line. Next you'll learn to move mail to a folder based on a subject. This feature is useful if you want to test your filter to see that it is working properly. You may have mail filtered on the key words or phrases of your choice. The third example is discarding mail based on a sender's e-mail address. This will work for a specific sender or all senders from a specific '.com' or '.net' address. The video also demonstrates how to test the first two filters to ensure they are working properly. Viewing Spam Scores and Setting Spam Score Filters. This video demonstrates how to view the spam scores on email messages within your WebMail account, how to interpret those scores, and how to set up spam score filters that will direct mail to a specific folder or discard the mail. Uses of Filters You may also want to use filters to help organize your mail and manage your mail quota.

  • Filter mail from your listservs, newsgroups, and other subscriptions to designated folders to read at your convenience.
  • Filter mail from your instructors, friends, or any other person to designated folders.
  • Instructors, filter mail from your students into a class folder - this is great if they turn in assignments via e-mail. By having them use a string in the subject line that you specify, their assignments will be collected in a folder until you are ready to review them on the due date!
  • Reject and discard mail based on the sender, subject key words, and size, and provide a default reason for the e-mail being returned. Many people like to limit the size of file attachments so their mailbox quota is not accidentally exceeded.

The key thing to remember about using filters for organization or other reasons discussed above and in the videos is that you must periodically check your folders for new mail - there is no indicator within WebMail to let you know there are unread messages in your folders. You will also want to delete unwanted messages regularly so that you do not exceed your mailbox quota.

There are two ways you can use the videos. First, you can watch them, then set up filters within your own WebMail account. Alternatively, you can complete the steps while watching the video by using the Pause button on the video player. All videos do include sound so you may need a headset to hear the audio in the labs.
