OptiPoint Reference Guide

PREFACE
This is a comprehensive quick reference guide to assist users of the OptiPoint telephone at the University of Tennessee - Knoxville campus.

The telephone system is a Siemens 4500 serving:
- East and West Campuses
- Conference Center

Note: Analog ancillary devices such as modems, fax machines are not directly compatible with digital telephones. You may contact Telephone Services at 4-3121 for additional information.

WHERE TO GO FOR ASSISTANCE
If you have a problem with your OptiPoint telephone, call Telephone Services at 4-3121 to report the trouble. The appropriate staff member will be dispatched to resolve your problem. To schedule telephone work, a person in your department authorized to commit resources to Telephone Services may send an email to telephoneservices@utk.edu.

Note: Campus 911 calls are answered at the Knox County Emergency Communications Center.

Since emergency response agencies rely upon station location data maintained by Telephone Services, it is critical that all station installations, relocations and maintenance be completed by Telephone Services.

WELCOME
OptiPoint multi-feature telephones have many options that enhance their functionality. OptiPoint telephones (depending upon type) may have a display, a speakerphone, from 8 to 51 feature keys, and multiple extensions per phone. These digital telephones work with the Siemens 4500 Computerized Branch Exchange (CBX) to give you advanced, easy-to-use telephone features.

The OptiPoint telephones are modular and support adapters for headsets or additional key modules. Please contact Telephone Services if you are interested in one or more of these options.

VOLUME CONTROLS (RINGING and TONES)

    1. Press + or -
    2. Select either 1 for ring volume or 2 for ring pitch
    3. Press + or - to adjust setting
    4. Press + and - at same time to store

DISPLAY
The display at the top of the OptiPoint basic, standard, and advanced models provides call information such as the extension calling, the calling party name, elapsed call time, message reminders, and more. When the phone is not in use, the display will show the time of day, day of the week, month, day and year, and your extension. It has two lines of 24 characters per line. You may adjust its viewing angle.

Line 1 contains instructions or acknowledgment messages, depending on the particular situation.

Line 2 contains selection options for functions, which you can confirm by means of ( ). If the character ">" is visible on the right-hand side, there are further selection options, which can then be accessed using .

YOUR CLASS OF SERVICE
Each telephone is assigned a class of service that specifies the system features available to that extension. Therefore, you may find that some features included in this quick reference guide are not available on your telephone. Contact the person in your office responsible for telephone layout (Dean, Director, Department Head, other) to determine which features have been assigned to your telephone.
LINE KEYS
Your OptiPoint telephone has a separate line key for each extension that appears on your phone. You use these keys to access lines and to place calls. Your primary line will illuminate when you lift the handset.

STATUS LIGHTS
The red status lights (next to the keys) will alert you to the status of a line or feature. A line key status light may illuminate steadily, blink, or flash to signal the status of that line.

DIALING INSTRUCTIONS
- Emergency Dialing
  • In an emergency, dial: 911
    Your call will be answered at the Knox County Emergency Communications Center.
  • Campus Police, dial: 4-3114
    Your call will be answered by UT Police.
- Local and Toll Free Dialing
  • Campus numbers: dial only the last five digits (beginning with 4, 5, or 6 plus the four-digit extension number).
  • Local, off campus and University Resident Apartments, dial: 8 + the seven-digit number.
  • Toll Free, dial: 8 + 1 + toll free number.
- University Calling Card - VolConnection
  To obtain a University Calling Card, contact Volunteer Connections at
   4-8006.

   Calls can be made from on-campus or anywhere in the U.S.

  • Dial 8 + 974-3770 (or 1-800-974-3170 if calling from outside the local calling area).
  • After greeting, enter your PIN number followed by #.
  • Dial area code + phone number or if dialing an international number: dial country code + city code + number.
  • To place next call, press and hold # for one second.
  • For Customer Service, call 8 + 974-4851 or toll free 1-800-974-4851.

- Calling Card and Operator Assisted Calls
  • To place a calling card call, dial * + 0 and follow menu.
  • To place a collect, third party or operator assisted call, dial 8 + 0 and follow menu.
  • To obtain rates or billing methods, dial 8 +0 to access an AT&T operator. For AT&T Customer Services, dial 8 + 1-800-CALLATT or write to AT&T, P.O. Box 723, Basking Ridge, NJ 07920.
  • To access an alternative 0+ carrier, dial 8 + 101XXXX (the equal access number) + 0. To file a complaint with the Federal Communications Commission (FCC), visit their Web site http://www.fcc.gov/cgb/complaints.html
    NOTE: Not all 101XXXX carriers provide 0+ access.
- Information Calls
  • Campus information, dial: "0" or 4-1000
  • Knoxville city directory online: oit.utk.edu/phone/yp
  • Directory assistance: dial 8 + 411
- Other Considerations
  • If you have hearing, speech or physical disabilities, notify Disability Services at 4-6087. Volunteer Connections will work with Disability Services on a case-by-case basis to determine when a customer is eligible for additional considerations.
  • Should you experience annoyance calls, notify UT Police at 4-3114.
  • Students who do not want their telephone number listed in the student directory may contact Student Data Resources at 4-2108.
SPEAKER
All OptiPoint telephones have a speaker that you can use for on-hook dialing (dialing without picking up your handset), listening to the PhoneMail system, or receiving calls. Because this is only a speaker and not a microphone, you must pick up your handset if you want to speak to a caller.

To use on hook dialing:
- Press a line key, receive dial tone, and dial.
- Lift the handset to speak to the other party.

To answer a call:
- Lift the handset. The status light beside the line key will light steadily.

To hang up:
- Replace the handset or press the line key.

SPEAKERPHONE
The OptiPoint standard, and advance models include a two-way speakerphone. A speakerphone consists of a speaker and a microphone. You can use either the handset or the speakerphone to organize or receive calls. The speakerphone allows you to do this without lifting the handset.

To make a call:
- Press a line key, receive a dial tone, and dial.

To answer a call:
- Press the line key of the ringing call.

To hang up:
- Press the line key of the call in progress.

To switch during a call:
- If you are using the handset and wish to use the speakerphone, press the
  Speakerphone (SPEAKER) key and replace the handset. If you are using
  the speakerphone and want to use the handset, simply lift the handset.

GLOSSARY
  • Callback allows a user to request a position in a queue when calling a busy extension.

  • Call Forwarding automatically reroutes incoming calls intended for a particular extension to another extension.

  • Conference allows you to conference up to eight parties, including yourself on the same call.

  • Connect allows the user to:
    1. Alternate between two calls.
    2. Accept a call that has been parked.
    3. Reconnect to a transferred call.

  • Consultation Call lets you talk privately with a second party while the first party is waiting on soft hold. By using the CONNECT key you can alternate between two parties.

  • Hold allows users to place a call on hold while they are making another call, conferring with another person, etc.

  • Last Number Redial allows the user to save the number just dialed should the number called be busy or unanswered.

  • Park allows a user to transfer calls to an extension, put it on hold there, and signal the user on the target extension that there is a call waiting.

  • Phonemail notifies users of messages waiting on the Phonemail voice messaging system. The indicator is auditory (broken dial tone) and/or visual (solid red light), if provided.

  • Pick Up allows users to answer, "pick-up" any other ringing phone. Both group pick-up and directed pick-up are available.

  • Reminder program a timed reminder on your telephone to remind yourself on an important meeting or appointment.

  • Repertory Dialing (R-) -- memory call -- provides one touch access to a programmed telephone number.

  • Station Speed Dialing allows the user to program up to 30 frequently called internal or external numbers with dial pad buttons (00-29).

  • Transfer allows users, after answering or originating a call, to direct that call to another phone or places a call on temporary hold and alerts the system that the user is preparing to use the keypad.
