Telephone Services: Guide to Optiset Telephones
(National Transportation Research Center, University Club, and Parking Services)

Preface
This is a comprehensive quick reference guide to assist users of Optiset Telephones at the National Transportation Research Center, University Club, and Parking Services.

Note: Analog ancillary devices such as modems, fax machines and answering machines are not directly compatible with digital telephones. You may contact Telephone Services at 974-3121 for additional information.

Where to Go for Assistance

If you have a problem with your Optiset Telephone, call Telephone Services at 974-3121 to report the trouble. The appropriate staff member will be dispatched to resolve your problem. To schedule telephone work, send an e-mail (telephoneservices@utk.edu) carbon copied to the person in your department authorized to commit resources, fax a memo (974-8546), or fill out our online service form. A staff member will follow up to verify the request before work is begun. Oak Ridge National Laboratory employees must go through the building coordinator to schedule telephone work.

Note: Campus 911 calls are answered at the Knox County Emergency Communications Center. Since emergency response agencies rely upon station location data maintained by Telephone Services, it is critical that all station installations, relocations, and maintenance is completed by Telephone Services.

Your Class of Service

Each telephone is assigned a class of service that specifies the system features available to that extension. Therefore, you may find that some features included in this quick reference guide are not available on your telephone. Contact the person in your office responsible for telephone lay-out (Dean, Director, Department Head, Building Coordinator) to determine which features have been assigned to your telephone.

Line Keys

Your Optiset telephone has a separate line key for each extension that appears on your phone. You use these keys to access lines and to place calls. Your primary line will illuminate when you lift the handset.
Status Lights

The red status lights (next to the keys) will alert you to the status of a line or feature. A line key status light may illuminate steadily, blink, or flash to signal the status of that line.

When the light is... ...the line is:
Off Available
On steady In use
Blinking Ringing
Flashing (faster) On hold
Flickering (fastest) Forwarded

Volume Keys

Use the Volume Up (+) and Volume Down (-) keys to adjust the voice volume of your telephone. While on a call, press (+) to raise the volume of the voice you are hearing, or press (-) to lower it. Press either key until you reach the desired voice level. Holding down either key only changes the volume one step.

When you hang up or switch to another call, the voice volume returns to the default level. Or you can store the new setting to override the default setting before hanging up by pressing the Select (checkmark) key or by pressing the (+) and (-) keys together, before you hang up.

Audio Settings
Audio settings control the ring volume, ring tone, and alert tone of your telephone.

To change the audio settings:

  1. When your phone is idle, press either the plus key or the minus key. Either key will set your phone system for a change in audio settings.
  2. Press one of the following digits:
    • 1 for ring volume
    • 2 for ring tone
    • 3 for alert tone
    Your phone will make the sound of the current setting.
  3. If you don't want to make a change:
    • Press # to exit
    • Or, if you do want to make a change, press the plus key to increase or the minus sign to decrease.
    As you press the plus key or the minus key, you will hear the volume or tone change. Release the key when you hear the desired tone.
  4. To set the desired tone: Press the plus and minus keys at the same time to save the change or press the check key.
Speakerphone

The Optiset Advance Plus telephones have a two-way speakerphone, consisting of a speaker and a microphone. You can use either the handset or the speakerphone to make or receive calls. During a conversation, you can use your speakerphone instead of your handset by pressing the Speaker key and hanging up the handset. If you want to switch back to using your handset, pick it up.

To make a call: Press a line key or the Speaker key to get a dial tone, then dial. To answer a call: Press the line key next to the blinking status light.

To hang up: Replace the handset, or press the line key.

    Your call will be answered at the Knox County Emergency Communications Center.

    Dial 4-3114. Your call will be answered by the UT Police Department.

Callback Request

Callback Request (Camp-On) helps you complete calls to extensions that are busy, ringing, or in Do Not Disturb mode. It lets you hang up and have the phone system call you back with triple rings. When you answer, the phone system automatically dials the number.

To camp on to a busy extension:

  1. Listen for the busy signal.
  2. Press the Camp-On (CAMP) key, or dial # 1.
  3. Listen for the internal dial tone.
  4. Hang up.
To cancel:
  1. Get a dial tone.
  2. Press the Camp-On (CAMP) key, or dial # # 1.
  3. Hang up.

Call Forwarding

Call forwarding lets you temporarily redirect your incoming calls to another extension.

To forward calls:

  1. Get a dial tone.
  2. Press the Forward (FWD) key, or dial # 2.
  3. Dial the number of the extension that you want to receive your calls.
  4. Hang up.
To cancel:
  • Press the Forward (FWD) key
Or,
  1. Get a dial tone.
  2. Dial # # 2.
  3. Hang up.
Conference Call

A conference call lets you have up to eight parties, including yourself, in a telephone conversation. Two of the parties can be on outside lines. If you have more than eight parties, or more than two on outside lines, contact Telephone Services at 974-3121 or telephoneservices@utk.edu. If a called party refuses the conference, has a busy line, or doesn't answer, you can reconnect to the conference. Once you establish a conference call (more than two parties), only you as the originator of the conference can add other parties.

To set up a conference call:

  1. Dial your first party.
  2. Inform the called party that this is a conference call.
  3. Press the Transfer (XFER) key.
  4. Dial the next extension number, or dial 8 and the outside number.
  5. Press the Transfer (XFER) key.
  6. Repeat steps 3-5 to join additional parties.
To reconnect to the conference when a called party isn't joining:
  • Press the Connect (CNCT) key.
To drop the last added party:
  1. Press the Transfer (XFER) key.
  2. Dial * * 4.
  3. Press the Connect (CNCT) key to rejoin the conference.

Connect

Connect lets you:
  • Reconnect with a call placed on consultation hold.
  • Reconnect with a transferred call before the transfer is complete.
  • Alternate between two parties when you have one of them on consultation hold.

To reconnect with a call:

  • Press the Connect key.
Consultation Call

Consultation Call lets you talk privately with a second party while the first party is waiting on soft hold. Use the Connect (CNCT) key to alternate between the two parties.

To consult with a second party during a call:

  1. Press the Transfer (XFER) key.
  2. Dial the extension number, or dial 8 and the outside number.
  3. Talk with the second party.
To reconnect: Press the Connect (CNCT) key.

Hold

Hold lets you temporarily hang up a line without disconnecting the other party.

To put a call on hold:

  1. Press the Hold key.
  2. Hang up.
To reconnect: Press the line key of the call on hold.

Last Number Redial

Last number redial lets you quickly redial the last number you have dialed. Each time you dial a valid internal or external telephone number, it is automatically stored so that you can redial it later. Numbers dialed during consultation calls and transfers are also stored. Only one number is stored at a time, and once you dial a new number, it replaces the number stored previously.

To redial the last number:

  1. Get a dial tone.
  2. Dial # # 4.
Pickup

Group Pickup lets you answer a call on your phone that is ringing on any phone in a designated group of phones in your work area, without knowing the ringing extension's number.

Call Pickup lets you answer a call to any extension, if you know its number. You can also use this feature to pick-up calls that are on hold at another extension.

To answer a call in your pick-up group:

  1. Get a dial tone.
  2. Press the Pickup (PICK) key twice, or dial # 3.
To answer a call to any extension:
  1. Get a dial tone.
  2. Press the Pickup (PICK) key, or dial # # 3.
  3. Dial the number of the ringing extension or the extension on hold.
Repertory Dialing (Memory Call)

Repertory Dialing (Repdial) lets you access a feature and/or dial a telephone number by pressing one key.

To set up or change a Repdial key:

  1. Press the Program (PRGM) key.
  2. Press the Repdial (blank button) key that is to be programmed.
  3. Dial the digits or feature codes for the desired sequence.
  4. Press the Check key to save.
  5. Repeat steps 2-4 to continue programming Repdial keys.
To make a Repdial call:
  • Press the desired Repdial key. It will automatically select a line.
Or
  1. Press a line key.
  2. Press the desired Repdial key.

Save/Redial

This feature saves a number that you have dialed. Later, you can redial your saved number.

To save a number you have dialed while you are still connected with that number:

  • Press the Saved Number Redial (S/R) key.
Or
  • While the call is still ringing, dial # 4.
To dial your saved number,
  • Press the Saved Number Redial (S/R) key, or get a dial tone and dial # 4.
Station Speed Calling

Station Speed Calling lets you set up single-digit codes for your frequently called internal extensions and outside numbers. You can then dial a one-digit code instead of dialing the whole number.

To set or change a station speed code.

  1. Get a dial tone.
  2. Dial * * 3.
  3. Dial the station speed code (0-9).
  4. Dial the extension number, or dial 8 and the outside number.
  5. Hang up.
To make a station speed call:
  1. Get a dial tone.
  2. Dial * 3.
  3. Dial the station speed code (0-9).
Transfer

Transfer lets you transfer a call to another extension or to the operator.

To transfer a call:

  1. Ask the party to hold.
  2. Press the Transfer (XFER) key.
  3. Dial the extension number.
  4. When the party answers, announce the caller.
  5. Hang up. The transfer is complete.
To reconnect: Before hanging up, press the connect (CNCT) key.

GLOSSARY

Callback Request (Camp-on) helps you complete calls to extensions that are busy, ringing, or in Do Not Disturb mode. It lets you hang up and have the phone system call you back with triple rings. When you then answer, the phone system automatically dials the number.

Connect allows the user to alternate between two calls and reconnect to a transferred call.

Forward automatically reroutes incoming calls intended for a particular extension to another extension.

Hold allows users to place a call on hold while they are making another call, conferring with another person, etc.

Last Number Redial allows users to quickly redial the last number dialed.

Message waiting (PHML) notifies users of messages waiting on the PhoneMail voice messaging system. The indicator is auditory (broken dial tone) and/or visual (solid red light), if provided.

Pick-up allows users to answer, or "pick up" any other ringing phone. Both group pick-up and call pick-up are available.

Repertory Dialing (memory call) provides one-touch access to either a programmed feature or number.

Save/Redial lets you save a number that you have dialed. Later, you can dial your saved number.

Station speed dialing allows the user to program up to 10 frequently called internal or external numbers with dial pad buttons (0-9).

Transfer allows users, after answering or originating a call, to direct that call to another phone.
