Guide to Analog Telephone System Features and Station Features

Click on the name of a feature to go directly to it.

Preface

This guide is for single line desk set and wall set telephones. It explains how to use the telephone and its system features. System features are the special functions your telephone will perform in addition to making and receiving calls, such as putting a caller on hold or transferring and connecting a call. Specific station features depend on the level of service assigned to your extension. If you are not sure which services are assigned to your extension, ask your office manager or department head.

Note: This guide does not include telephones at NTRC, Middlebrook, University Club, Parking Services, and Rental Properties.

Where to Go for Assistance

If you have a problem with your Analog Telephone, call Telephone Services at 974-3121 to report the trouble. The appropriate staff member will be dispatched to resolve your problem. To schedule telephone work, send an e-mail ( telephoneservices@utk.edu) carbon copied to the person in your department authorized to commit resources, fax a memo (974-8546), or fill out our online service form. A staff member will follow up to verify the request before work is begun.

Call Forwarding

Call Forwarding automatically reroutes incoming calls intended for a particular extension to another extension.

There are three forwarding features:

  1. Call Forwarding
  2. Follow-Me Call Forwarding
  3. Off-System Call Forwarding

Please Note: Tell the person receiving your forwarded calls that you have forwarded your calls to their extension. If that person calls your extension while your calls are forwarded, call forwarding is canceled.

To forward your calls to another extension:

  1. Lift receiver.
  2. Get dial tone.
  3. Dial # 2.
  4. Dial number of extension to receive your calls.
  5. Hang up.

To cancel Call Forwarding from your extension:

  1. Lift receiver.
  2. Get dial tone.
  3. Dial # # 2.
  4. Hang up.

The Follow-Me Call Forwarding feature allows you to continue to forward your calls, but to a different extension. This type of forwarding must be done at the extension receiving your calls.

To forward your calls from a forwarded location to subsequent extensions:

  1. Lift receiver.
  2. Get dial tone.
  3. Dial your extension number.
  4. Dial number of next extension to receive your calls.
  5. Hang up.

To cancel forwarding from the extension receiving your calls:

  1. Lift receiver.
  2. Get dial tone.
  3. Dial your extension number.
  4. Hang up.

Off-System Call Forwarding lets you forward your calls to a number outside the University system.

To forward your calls to an outside number:

  1. Lift receiver.
  2. Get dial tone.
  3. Dial # 2 to forward all calls.
  4. Dial 8.
  5. Dial outside number to receive your calls.
  6. Hang up.

To cancel Off-System Call Forwarding:

  1. Lift receiver.
  2. Get dial tone.
  3. Dial # # 2.
  4. Hang up.

Camp-On

Camp-On allows the user to request a position in a queue when calling a busy extension number. The system will automatically call you back (with a long ring) when the number becomes free (the system cancels the callback camp-on feature after the second long ring). When you answer, you will hear the extension you called begin to ring. If you ignore the ringback, the called extension does not ring. You can only camp-on to one extension at a time.

Please Note: This feature will not work on numbers outside Telephone Services' phone system. Also, the system does not forward the callback camp-on feature if the phone you are trying to reach is forwarded.

To camp-on to a busy extension:

  1. Listen for busy signal.
  2. Flash. (Do this by pressing the switchhook for about one second.)
  3. Dial # 1.
  4. Hang up.

To cancel the callback camp-on:

  1. Lift receiver.
  2. Get dial tone.
  3. Dial # # 1.
  4. Hang up.


Conference Calling

Conference Calling lets you talk to up to eight parties, including yourself, in a telephone conversation. Two of the parties can be on outside lines. If you have more than eight parties, or more than two on outside lines, contact Telephone Services at 974-3121 or telephoneservices@utk.edu. If a called party refuses the conference, has a busy line, or doesn't answer, you can reconnect to the conference. Once you establish a conference call (more than two parties), only you as the originator of the conference can add other parties.

To set up a conference call after getting the first party on the line:

  1. Flash. (Do this by pressing the switchhook for about one second.)
  2. Dial extension number, or dial 8 and then the outside number.
  3. Inform the called party that this is a conference call.
  4. Flash again.
  5. Dial * 4.
  6. Talk to parties.
  7. To add more parties, repeat steps 1-6.

To reconnect to the conference call if the called party refuses the conference, has a busy line, or doesn't answer:

  1. Flash. (Do this by pressing the switchhook for about one second.)
  2. Dial * 1.

To delete the last party added:

  1. Flash. (Do this by pressing the switchhook for about one second.)
  2. Dial * * 4.

Connect

Connect allows the user to:
  • Alternate between two calls (consultation call)
  • Reconnect with a call on hold
  • Accept a call that has been parked on your extension
  • Accept a call that has been camped on to your extension
  • Reconnect to a transferred call if the party to whom you are transferring does not want to take the call, or if the extension is busy or is not answered.
  • Connect with an outside line after you receive a callback.

To use the Connect feature:

  1. Lift receiver.
  2. Dial * 1.


Flash

Flash places a call on "soft (temporary) hold" and alerts the system that the user is preparing to use the keypad to dial another party or dial a special access code. The soft hold lasts until you hang up or reconnect the call.

After you flash, you will hear a pulse tone followed by a high-pitched holding tone (a special type of dial tone). Once you hear the holding tone, you can dial in a number or dial a feature code.

There are three important things to remember about the flash function:

  • It puts your party on soft hold. If you hang up after flashing, the call immediately rings back on your phone.
  • If you dial incorrectly after you have flashed, you can flash again; the temporary hold remains in effect.
  • If you are not sure whether to flash before using a system feature, remember that you must have a dial tone before using a feature. So, if you do not have a dial tone, flash.

To Flash using the hookswitch: If you have a standard single-line or wall-mounted telephone, press the hookswitch for about one second and listen for the pulse tone followed by the high-pitched holding tone. Note: Holding the hookswitch down for longer than one second can disconnect your call.

Hold

Hold allows users to place the handset on the cradle without disconnecting the other party.

To put a call on hold:

  1. Flash. (Do this by pressing the switchhook for about one second.)
  2. Get dial tone.
  3. Dial # 5.
  4. Hang up.

To reconnect with a call on hold:

  1. Lift receiver.
  2. Dial * 1 to reconnect to the call.


Park allows the user to transfer calls to an extension, put it on hold there, and signal the user on the target extension that there is a call waiting.

The Park feature lets you transfer a call to an extension and hold, or "park," it there. This feature is useful when you want to continue a conversation at an idle extension or transfer a call to a busy extension. The called party hears a short beep when you park the call.

To Park a call on an extension:

  1. Flash. (Do this by pressing the switchhook for about one second.)
  2. Get dial tone.
  3. Dial * 6.
  4. Dial idle or busy extension number.
  5. Hang up.

To connect with a call parked on your extension:

  1. Flash. (Do this by pressing the switchhook for about one second.)
  2. Dial * 1.


Pickup

The Call Pickup feature allows you to answer a call ringing on any extension, as long as you know the number. You can also use this feature for calls that are on hold at another extension.

To answer a call to any extension:

  1. Lift receiver.
  2. Get dial tone.
  3. Dial # # 3.
  4. Dial number of ringing extension or extension on hold.

To answer a call ringing on another extension while you are talking on your phone:

  1. Flash. (Do this by pressing the switchhook for about one second.)
  2. Dial # # 3.
  3. Dial number of ringing extension.
  4. Speak to the caller.
  5. When you are finished, flash. (Do this by pressing the switchhook for about one second.)
  6. Dial * 1 to reconnect to the person you were talking to.

Group Pick-up allows you to pick up a call to a ringing extension in your pick-up group. All phones in your work area may not necessarily be in your pick-up group. Ask your department head or office manager which extensions are members of your group.

To pick up a call for a member of your pick-up group:

  1. Lift receiver.
  2. Get dial tone.
  3. Dial # 3.

To pick up a call when you are on your phone:

  1. Flash. (Do this by pressing the switchhook for about one second.)
  2. Dial # 3.
  3. Speak to the person making the call you picked up.
  4. Flash. (Do this by pressing the switchhook for about one second.)
  5. Dial * 1 to connect to the person you were talking to.


Privacy Call

The Privacy feature prevents the Camp-on feature from interrupting a call. The Privacy feature may be used before dialing a number or during a conversation. Privacy is automatically turned off when you or your party uses the Flash function or places the call on hold.

To set up a private call before dialing:

  1. Lift receiver.
  2. Get dial tone.
  3. Dial # 9.
  4. Dial extension number, or key in 8 and dial outside number.

To set up a private call during a conversation:

  1. Flash. (Do this by pressing the switchhook for about one second.)
  2. Listen for pulse tone and high-pitched holding tone.
  3. Dial # 9.
  4. Continue conversation.

Save/Repeat

Save/Repeat allows the user to save an internal extension or outside telephone number to redial later.

To save an outside number you have dialed:

  1. Lift receiver.
  2. Get dial tone.
  3. Dial 8 and dial number or dial extension number.
  4. Flash. (Do this by pressing the switchhook for about one second.)
  5. Listen for pulse tone and high-pitched hold tone.
  6. Dial # 4.

To repeat your saved number:

  1. Lift receiver.
  2. Get dial tone.
  3. Dial # # 4.


Station Speed Dialing

Station Speed Dialing allows the user to program up to 10 frequently called internal or external numbers with dial pad buttons.

To set up or change a station speed code:

  1. Lift receiver.
  2. Get dial tone.
  3. Dial * * 3.
  4. Dial station speed code (0-9).
  5. Dial extension number, or 8 and the outside number.
  6. Hang up.

To make a station speed call:

  1. Lift receiver.
  2. Get dial tone.
  3. Dial * 3.
  4. Dial station speed code.


Transfer

Transfer allows users, after answering or originating a call, to direct that call to another phone or to the operator. The operator's extension number is 0. The connection between the caller and the person to whom the call is being transferred is complete when you hang up.

To transfer a call to another extension:

  1. Flash. (Do this by pressing the switchhook for about one second.)
  2. Dial * 7.
  3. Dial extension number.
  4. Announce caller.
  5. Hang up. Connection is complete.

To reconnect if you reach a busy or unanswered extension, or if the intended party refuses the call:

  1. Flash. (Do this by pressing the switchhook for about one second.)
  2. Dial * 1.
