Directory Overview
OIT maintains a searchable online database of information about faculty, staff, and students at UTK. This "LDAP directory" is regularly updated with information from SIS (students) and HRIS (faculty and staff).
The LDAP directory also provides authentication and authorization for
network-based services. Authentication is verification of the identity of
a person or other user of a service. Typically you "log in"
to authenticate yourself using a password that only you know.
Authorization is the granting of access to a service based on your
authenticated identity plus other authorizing information. For example, an
authorization field might be set to indicate that you have paid for dialup
(ERA) services this semester and should be allowed to dial in.
Finding Phone Numbers and Email Addresses
You can search for phone numbers and email addresses of UTK students, faculty,
and staff by using the form at
http://www.utk.edu/ph.
For reasons of privacy and security some information may only be seen by
members of the UT community. This includes local phone numbers for
students. To see restricted information, you can log in to the directory
using your NetID and password.
NetID
Your Network Identifier, or NetID, may be used to authenticate yourself to
network-based services. For example, if you have a SIMS email
account, you log in using your NetID and password. You can find out what
your NetID is by searching for yourself in the directory at
http://www.utk.edu/ph.

Short Email Addresses
If you have put your email address into the directory, email sent to
"NetID@utk.edu" will be
forwarded to the address you have set.
Changing Your Email Address or Other Information
Your email address is automatically set in the directory when you create a SIMS email account. If you wish to receive your email at another address, you can change or set your email address by selecting "Login" and then "Edit your own entry" from http://www.utk.edu/ph.
You can also change several other pieces of information about yourself. You can specify a URL for your home page, provide a nickname that people might use to look you up, or include a cellphone, fax or beeper number.
Much of the information such as name, phone numbers, addresses,
and job title, reflects official university records and can only
be changed by contacting the office responsible for that data.
Where the Data in the Directory Comes From
Student Information in the directory is regularly updated with information from the Student Information System (SIS). It can be changed by contacting Enrollment Data Services (974-2104).
Information on UTK faculty and staff reflects data from the Human
Resources Information System (HRIS) and is usually updated via a
Personnel Action Form (PAF) by your department payroll clerk or the Payroll
Office.
Privacy
Not all information in the directory may be viewed by the public. Home and local addresses are always hidden. However, you may prefer that your directory entry be completely hidden. This means that you can still use directory-based services such as a short email address or authentication and authorization, but other users won't be able to search for you in the directory.
To view or change a directory entry that is hidden, you must log in using
your NetID and password, select "View your own entry" or "Edit your
own entry" options from
http://www.utk.edu/ph.
For help in keeping your information private, students should contact
Enrollment Data Services. Faculty and staff should contact the Payroll Office.
Printed Directories
Telephone Services prints two telephone directories annually, one for
students and another for faculty and staff. The printed
directories reflect official university data for names, telephone
numbers and addresses. They also include email addresses for
people who have registered them in the directory. If you have registered
your email address your telephone directory listing will include
an email address in the form "NetID@utk.edu".
Mail Clients
Several mail clients (Netscape Mail, Outlook, Outlook Express, Eudora, WebMail and Pine) can be configured to use an LDAP server as an addressbook for address lookups. Although the method of configuration differs for each client, below is the basic information that will be needed:
