Students with SIMS Accounts

The plan for retiring SIMS is to migrate everyone to Exchange. Our goal is to move all student accounts to Exchange before Summer semester and to disable the SIMS accounts. OIT needs to make this migration now because hardware and software on SIMS is starting to fail and we want to avoid serious problems.

Both e-mails attempt to appear as official university communication from the Office of Information Technology and request that the user to reply with their e-mail password. In one case, the e-mail requests the user's date of birth and office location as well.

Folks,

We're getting reports of a targeted phishing email that may have been sent to a large number of utk.edu addresses. It requests email account name and password. We've received about 8 complaints today. See below for one such example.

None of the examples contained the full header information, which I've requested from the senders but haven't received yet. If anyone has received one of these, would you please forward the full headers to me? I'd also ask that you send out an email to folks in your group or department reminding them that this is a hoax.

5 Minute Network Loss

An unexpected reboot of one of the core routers caused network loss to about half the campus for about 5 minutes today. A trouble ticket has been opened with Cisco Systems.

At this time, network access to these buildings has been restored.

Upcoming Infrastructure Outage/Serious Problem

In order to perform a network upgrade, network connectivity between the Middlebrook Warehouse and the rest of campus (as well as the Internet) will be down between 7:00 AM and 8:00 AM Tuesday, November 20, 2007.

Upon completion of the upgrade, bandwidth from the warehouse to campus will be upgraded from 4.632 megabits per second to 100 megabits per second.

Volnet2: University Center and the White Avenue

Network Outage Parking Services

There will be a short network outage at the Parking Services building on Stephenson Drive on Friday, November 9th at 7:45am. This outage is necessary to move Parking Services to a new, higher speed (20Mbps) connection to the campus backbone. This outage should last no more that 15-20 minutes.

The SiMS/Webmail server will be restarted at 12:00 noon today. The outage should last around 15 minutes. Email will be queued during the outage and no mail will be lost. Some email deleted within the last 24 hours may reappear and will need to be deleted again. We apologize for the inconvenience.

Notes/Domino Maintenance on 10/28

OIT will be performing maintenance on the Domino systems on October 28, beginning at 12:01 a.m. This maintenance will require systems to be taken offline and therefore Domino access will be unavailable periodically during the maintenance window. During the maintenance window, OIT will be patching the OS on the following Domino Servers: notes.utk.edu and notes5.utk.edu Estimated downtime is roughly 30 minutes per server. It could take up to 2 hours to patch all the servers.

Tmail Maintenance

OIT will be performing maintenance on the Exchange (Tmail) systems on October 26, beginning at 12:01 a.m. This maintenance will require systems to be taken offline and therefore Exchange will be unavailable periodically during the maintenance window. During the maintenance window, OIT will be patching the OS on all backend Exchange servers. Estimated downtime is roughly 30 minutes per server. It could take up to 4 hours to patch all the servers.

Tmail Maintenance

OIT will be performing maintenance on the fibre channel switch that supports part of our storage area network, tonight, beginning at midnight, 10/25/2007. Systems that are connected to the switch include the Tmail (Exchange) system and the Enterprise Vault system and disk storage associated with those systems. During the maintenance, the switch will have updated licensing applied to enable the remaining switch ports. Additionally, the new zones will be setup to support new server hardware. No downtime is expected for any of the systems connected to the fibre switch. Listserv and SMTP communiction problem resolved

SMTP problems this afternoon

Earlier this afternoon, SMTP services were affected by a configuration problem on one of the Barracuda spam appliances. During this time, one of the Barracuda appliances was refusing email. The other device was functioning normally and was delivering email.

The configuration was corrected and both Barracuda spam appliances are now handling incoming/outgoing email.

DSL service to Sutherland Village restored

Tmail (Exchange) maintenance for Thursday, October 4, 2007

OIT will perform maintenance on the Tmail (Exchange) system on Thursday, October 4, 2007, at 6:00 a.m. During the maintenance period, OIT will implement network load balancing on the Tmail web front ends. This maintenance should improve performance of the Tmail system by providing more servers to respond to client requests. The maintenance period should be around 5 minutes.

When the change has been made, existing connections to the server will be lost and clients will re-establish connections to the system. In some cases, users may have to log out of their clients and login again.

Important Online@UT Outage Information

We have deleted over 20,000 old courses and purged several million records as part of our effort to improve Online@UT’s performance. To realize those gains in storage and system efficiency, Blackboard will need to rebuild our database tables. As a result, we will need to take Online@UT offline during fall break. Online@UT will be unavailable to all users beginning at 12:01 am, Thursday, 10/11/07. We expect a 48-72 hour maintenance window. We will bring the system back online as soon as possible, but no later than 8:00 am, Monday, 10/15/07.

It has been possible to restore a number of the file(s) which were reported as missing or corrupted. The restored files are in a new folder named "Recovered" located in the file's original location. Please look for this folder, check out the files it contains and let OIT know if any futher recovery work is needed.
Once you are satified the file is correct and usable, please delete the bad file(s), move the recovered file to the correct folder and deleted the recovered folder.

Scheduled service outage for UTNC Novell system, 9/7/07, 6:00am-7:30am

A service outage is schedule for the UTNC Novell system on 9/7/07 between 6:00am and 7:30am in order to perform firmware upgrades. OIT staff will be as efficient as possible in performing this upgrade and the system will be returned to service as quickly as possible.

Update - Barracuda SPAM appliance replacement

As per my earlier post, one of the Barracudas failed and we contacted their tech support for a replacement. The replacement arrived before 9:00 a.m. this morning and was installed and configured by around 11:00 a.m. At that time, email from off campus was allowed to go through both Barracudas once again.

As of this writing, email queues have been getting back to normal which should equal better delivery times for email. Some customers were reporting difficulty submitting email to our SMTP servers, which we resolved by changing the round robin of servers that respond to smtp.utk.edu. As the queues continue to shrink overnight, the smtp round robin will be returned to its normal number of answering servers, probably before noon on Friday.

Webmail/iMS Mail System Service Downtime

When: Thu, Sept 13, 2007, Midnight - 2:00 AM

The Webmail/iMS mail system will be down for about 2 hours to apply software patches. Hopefully these patches will resolve the intermittent software problems we have seen on this system over the past few months.

Webmail, IMAP, and POP access to this mail system will not be available during this time.

SMTP service will continue to be available. The Exchange mail system is unaffected.

Unable to restore files from tape for UTNC

There is a problem with the backup/restore system used on the UTNC Novell cluster. The problem prevents us from being able to restore any files at the current time. OIT has an open service request with IBM, the manufacturer of the backup software. We have been informed by IBM that this is a very rare error and is being worked on by both their Level 2 support and Novell. We will begin restoring files as soon as a resolution to this issue has been provided to us.
Some users may restore previous versions of files from the Novell salvage area on the volume. To access the salvage area, right-click the folder that contained the deleted file > select Salvage Files from the pop-up menu > high-light the desired version of the file > click Salvage File. Do not click Salvage All. Not all files will exist in the salvage area, only deleted files will be found here. Files such as archives or databases that are constantly being updated will not be found in salvage.
If you are having difficulty with the recovery process, contact the Helpdesk and report what file needs to be recovered. Someone from OIT will contact you to help.

Email delivery from off campus problems

Folks,
Email delivery has been restored but delivery delays can be expected while queues are processed. In order to manage the email load, email from off campus is currently being routed through the remaining Barracuda and a subset of our linux SMTP servers.

There were messages in the queue on the Barracuda that experienced hardware failure that will be lost. If you were expecting email on Saturday that you did not receive, you should contact the sender and ask them to resend the email.

The HOME folder are available now. The repair of the DEPTS folders continues. Users who login will get the G: and H: drives but will not get the I: drive.

Unscheduled outage of UTNC Novell system continues

The UTNC Novell system will down for several hours while repairs continue to run on the volumes. Users may still log into the system but they will not be able to access their files until the repairs are complete.

It is expected the HOME folders on VOL1 will become available sometime in the late afternoon on Thursday, 8/30. The DEPTS folders on VOL3 are not likely to be available until Friday.

We apologize for the inconvenience and difficulties this unscheduled outage will cause. OIT staff are working very hard to restore the service as quickly as possible.

Users may wish to select the "Workstation only" option at the login prompt in order to avoid the error messages.

Unscheduled Novell UTNC system outage

The Novell UTNC disk system had errors this evening about 9:00pm prior to the scheduled maintenance. The errors have caused the volumes on the disk to become unavailable until repairs can be completed. Due to the extremely high number of files on these volumes the repair process will require several hours. It is possible the volumes will not be available during regular business hours on Friday. OIT is working hard to speed the repair and get the volumes back online.

Exchange (Tmail) outage on student server 4 beginning 12:00am, 8/30/07

OIT will be utilizing its regularly scheduled maintenance windows to perform maintenance on one of the student Exchange servers tonight beginning at midnight. This server will be unavailable for up to 1 hour, but most likely will be online much sooner than that.

During the outage, OIT staff will be upgrading the firmware on the server hard drives to correct an intermittent failure condition.

Students whose accounts are on this server will not be able to access their server mailboxes during the maintenance period. No email should be lost during the outage but may be slightly delayed.

Power Outage for Vet Hospital

An electrical power outage has been scheduled for the Vet Hospital beginning on Saturday, September 1, 2007 at 11:30 pm and ending on Sunday, September 2, 2007 at 7:30 am. The purpose of this outage is so the Electrical Contractor can install a breaker in the main building switchboard to serve the new building expansion.

Online@UT Update

Blackboard engineers have repaired the technical issues at their Virginia data center that resulted in Online@UT performance problems on Monday, 8/27. The associated issues have been resolved, and the system is back online. Please keep in mind that your students may not have been able to work in Online@UT yesterday from about 11:30 am-11:00 pm.

Online@UT Performance Problems

Beginning today, 8/23, at approximately 11:30 am, we began experiencing sporadic performance issues with Online@UT. Shortly thereafter, Blackboard informed us that they had failure issues in their data center in Virginia.
They have been working on the problem ever since. As of 10:00 pm tonight, they have been unable to fully restore reliable login and normal performance. ITC has been monitoring system performance throughout the evening. Access has been unreliable. If your students were unable to submit assignments due to their inability to do so, please give them due consideration. We will provide another full update in the morning when we receive an updated report from Blackboard. We regret this inconvenience.

1 minute Network Outage in Dormitories, 12:15 PM today

Network Services will create a 1 minute outage at 12:15 PM (EST) today, affecting all devices connected to dormitories networks. This outage is necessary to fix an issue with the new wireless network in Dormitories.

This should not affect other Campus Networks (wired and wireless)

Phonemail Maintenance Notification

On August 18th, between 6:00 am and 7:00 am Telephone Services will perform maintenance on the phonemail system. LDAP Replicas Up

The LDAP replicas, arte and brennan, have been "repaired" and put back in service. The vendor supplied a hotfix that appears to be working.

If you swapped your applications to point to ldapserver.utk.edu, you might want to eventually point them back to ldap.utk.edu in the next day or so.

The IP name ldap.utk.edu is once again pointing to the replicas in round-robin fashion.

LDAP Replicas Down

The LDAP replicas, arte.usg.utk.edu and brennan.usg.utk.edu, both shut
themselves down this morning ~ 6:20am with some sort of error messages
about expired software. I believe this is related to the LDAP security
patch we installed back in June. The replicas were upgraded to v5.2
(patch 5). Apparently that patch has an expiration date.

The LDAP Master (buzzi.usg.utk.edu), which wasn't upgraded, is still
working. I have pointed the IP name ldap.utk.edu to buzzi as sort of a
stopgap. That should solve some of the trivial connectivity issues.
However, any applications that have SSL dependencies may still
experience problems. If so, pointing your application for the duration
of this issue to ldapserver.utk.edu, instead of ldap.utk.edu, may solve
your problem.

I've already placed a service call to the vendor, but no estimate yet on
a resolution.

Exchange (Tmail) maintenance, midnight - 4:00 a.m. 8/16/07

OIT will be utilizing its Thursday morning maintenance window to perform maintenance on the Exchange (Tmail) system. During the maintenance period, OIT staff will be applying patches to the servers. Additionally, we will be advertising SAN storage to the remaining faculty/staff node.

The maintenance will begin at midnight and last less than 4 hours. During the maintenance, the student servers will be rebooted, causing Exchange to be unavailable during the reboot process. Faculty/staff servers will be taken offline during the disk advertisement, causing Exchange to be unavailable.

We will make every effort to minimize the outage.

NetReg/DHCP Outage Thursday Morning

This Thursday, August 2, from Midnight until 2AM, NT/USG will be moving the primary DNS/DHCP server to new hardware.

NetReg services will be unavailable during this time.

DNS/DHCP services should remain available from alternate servers.

Emergency iMS email system maintenance, 6:00pm, 7/30/07

OIT must perform emergency maintenance on the iMS email server (imap.utk.edu, pop.utk.edu) this evening, beginning at 6:00 p.m. During the maintenance period, a repair will be run on the message store. The repair will take around 2 hrs to complete. After 30 minutes, users will be able to access their Inboxes but won’t be able to access other folders until the repair has completed. Computer Systems Outage

The computer systems located in Stokely Management Center on the Knoxville campus will be unavailable from midnight, July 21, until noon, July 22. This outage is required to perform maintenance on the electrical system that supports the computers.

To perform this maintenance, all the computer systems must be shut down and the hardware powered off. For most systems, the shutdown will start at midnight, July 21. After the maintenance is complete, the computers and applications will be restarted. This process will take time, but most major services should be available by noon.

Some applications may be shut down before midnight on Saturday if there are special needs for those applications. Customers of those applications will be notified separately.

Major services that are affected by this outage include, but are not limited to, the following:

-Webmail, Tmail/Exchange (Knoxville only) -Circle Park Online, UT GO Grades Online -IRIS -Volcard deposit -Most centrally hosted Web sites, such as those on web.utk.edu and virtually hosted sites -Mainframe (z/OS, VM/CMS)

Faculty and staff around the state may be most affected by the outage in the IRIS system. Knoxville faculty and staff will be affected by the IRIS outage and by the loss of Webmail and Tmail/Exchange. The impact on students should be limited to those in Knoxville trying to access Webmail, Tmail, or Circle Park Online. Other lesser-used services also will be affected by the shutdown, but their impact on other users should be minimal.

Whenever a computer is shut down after running for a long time, there is a chance that something will fail. If any hardware fails during the restart procedure, it will delay operation of that system until the hardware can be replaced or repaired.

OIT will be performing maintenance on the Exchange (Tmail) systems on July 12, beginning at 12:01 a.m. This maintenance will require systems to be taken offline and therefore Exchange will be unavailable periodically during the maintenance window.

During the maintenance window, OIT will be adding servers and accompanying disks to the Exchange infrastructure. At Dell’s recommendation, OIT staff will be performing some firmware updates on various hardware components. Finally, some performance tweaks will be applied per Microsoft best practices for Exchange environments.

Estimated downtime is roughly 4 hours.

Mandatory LDAP upgrade

Early Sunday morning, 6/24/2007, between midnight and 8am, the LDAP servers will be taken down, one at a time, for both preventive maintenance and a mandatory security upgrade. Since only one LDAP server will be taken down at a time, all services connecting to ldap.utk.edu should continue to operate as normal.

However, at some point during the night, assuming we don't run out of time, we will begin upgrading the LDAP master server. At which time, no LDAP changes will allowed, i.e., no password changes or resets, no mail routing changes, etc. Since the master server will be upgraded last, it should be deep into the night when we switch to a read-only mode, so hopefully, the impact will be minimal.

It's hard to believe that instructors have been managing their courses using Online@UT (Blackboard) for nearly 10 years. Even harder to believe is that many of the courses from years past still exist on our Blackboard server. Our current system storage requires more than half a terabyte. Operating and maintaining a system of this size comes with unintended consequences. Degraded system performance, longer downtimes during planned upgrades, and increased storage costs are just a few.

In an effort to maintain a manageable database size with consistent speed and performance, the ITC will be deleting expired courses and inactive accounts. ALL COURSES CREATED UP TO AND INCLUDING SPRING 2005 WILL BE REMOVED/DELETED FROM THE BLACKBOARD SERVER DURING THE MONTH OF AUGUST PRIOR TO THE START OF THE FALL SEMESTER.

Course instructors will receive periodic reminders about the cleanup throughout July. Additional information and instructions pertaining to the server cleanup will be posted to http://online.utk.edu shortly. We will notify you when the site has been updated.

Cingular service was disrupted today due to a carrier switch software upgrade. The Knoxville area Cingular engineers are aware of the problem and working to correct the issue. This outage encompassed the entire Knoxville downtown area, not just the UT Knoxville campus. Service outside the downtown area is fully operational. Novell VOL2 Repair

We wanted to give you a brief update on the status of the Novell server that has been down since last week. The data has been completely restored, but unfortunately after working on it all weekend we were unable to restore the user and group rights. Therefore, this process is having to be done manually. We are diligently working on that now and hope users will be able to see their folders in increasing numbers throughout the day. The login script has been modified to map I: to VOL3. Users may need to login again in order to get this mapping. Once they have the drive mapping they may or may not see the folders depending on where we are with the rights assignments. Users who have the drive mapping may simply refresh the screen through the day to see if new folders appear.

Novell VOL2 repair

We wanted to send another update regarding the status of the Novell Vol2 file server. Over the past two days and nights, OIT has pursued two possible means of data recovery. The volume/pool repair has failed, in the same place as before. This indicates a serious corruption problem.
The tape restore has completed far sooner than anticipated with only about 2/3 of the expected size. The way things are stored and compressed though this may be right but we are checking the data now to be sure it is all there.

The big problem now is that the trustee rights assignments were not restored with the data. So even though we have a volume with data the users will not be able to see it yet. We are working diligently to resolve this issue but at this time we still do not have an ETA as to when you will be able to access your data.

Again, we recognize the importance of getting the server working as soon as possible and we continue to work around the clock to resolve the problem.

OIT will be removing the public SInRG cluster from service on May 23, 2007. At that time, all OIT SInRG cluster nodes will be shutdown and any data remaining on the nodes will be erased.

As an alternative to OIT’s SInRG cluster, OIT SInRG cluster users may request accounts on OIT’s Newton Linux compute cluster by sending an email to usg@utk.edu.

The rebuild of the volumes appeared to resolve most issues but there are still signs of corruption on VOL2. Novell tech support has been consulted and they have recommended that we repeat the procedure. If all goes well, this rebuild should resolve any remaining corruption issues. However, if it doesn't, Novell tech support will be involving other teams to identify why the rebuild procedure is not resolving all issues.

In a worst case scenario, the outage window will have to be extended but every attempt will be made to bring the volume online as soon as possible.

On Wednesday night, 3/21/2007 @ 11:59pm, the LDAP servers will be taken down briefly to renew SSL certificates. The servers will be taken down one at a time, so no loss of service should occur. All campus services that query or authenticate using ldap.utk.edu will continue to work. The 2 or 3 services that hard-code the individual LDAP host names (arte.usg.utk.edu or brennan.usg.utk.edu) and have no fail-over mechanism will experience a brief outage lasting about 15 minutes per server.

The Corporate Time (CST)/ Oracle calendar has experienced some unexpected issues due to the extended Daylight Savings Time (DST) period. For meetings created prior to March 11, appointments may appear to be off by 1 hour during the extended DST time period (March 11 through April 1 and October 28 through November 4). All meetings created on or after March 11th should be correct.

Please consider any appointments and meetings in the extended DST period to be suspect. When in doubt, verify the correct time with the organizer. Once you verify the times of existing meetings, please manually adjust the time of your meeting in your Corporate Time calendar.

Novell file servers instability

The Novell file servers knitfc3 and knitfc4 have been experiencing instability issues that are likely a result of file corruption, based on our Novell tech support findings. We had hoped to be able to keep file/print services available during business hours and begin the file system repair after 5:00pm today but the problems have worsened and we now find that we must take the volumes down for repair at this time.

During UT’s spring break, Skillsoft will be upgrading the hardware/software/web site supporting our E-Learning environment. In an effort to provide the best service and web support, we are continuously working to ensure our applications, software and hardware are up-to-date. The 800 E-learning courses at http://oit.utk.edu/cbt will be unavailable between 8:00 am and 8:00 pm EDT on March 14, 2007. Skillsoft will also be upgrading our OSHA safety courses web site http://oit.utk.edu/cbt/safety on March 18th between 8:00 am and 8:00 pm EDT.

SMTP Periodic Performance Issues

Starting around noon today, SMTP services began having periodic performance issues. In some cases, connections to the Barracuda Spam Firewalls would fail and the legacy SMTP servers, i.e. smtp.utk.edu, would not respond. USG staff has been monitoring and troubleshooting the situation throughout the afternoon.

Barracuda tech support has been contacted and are currently engaged.

A status update will be provided when more information is available.

In August of 2005 the United States Congress passed the Energy Policy Act, which changes the dates of both the start and end of daylight saving time (DST). When this law goes into effect in 2007, DST will start three weeks earlier (2:00 A.M. on the second Sunday in March) and will end one week later (2:00 A.M. on the first Sunday in November) than what had traditionally occurred. CTRAX will no longer be available

The University was recently informed that the CTRAX music service will no longer be available to any campus after February 28th. The company
(CDIGIX) has terminated its on-line music service to all universities and individuals. CDIGIX offered the service free of charge to the University during the first year of our contract. Therefore the University has not spent nor will it lose any money.

Student Affairs and the Office of Information Technology will pursue a new music download service to be available fall semester.

The University strongly recommends that you use a legal download service for music. Ruckus has officially announced that they will provide free accounts to all persons with a .edu email address. For more information on the Ruckus service, please visit the Ruckus website at http://www.ruckus.com.

On Sunday morning, 2/18/2007, between 12:01am and 6am, the LDAP servers and the directory.utk.edu web site will be down for a few hours for mandatory software upgrades. The following servers will be down:

ldap.utk.edu (arte.usg.utk.edu, brennan.usg.utk.edu)
ldapserver.utk.edu (buzzi.usg.utk.edu)
directory.utk.edu (worley.usg.utk.edu)

During this time, mail routing will continue to work. However the directory.utk.edu web site will be down and the directory servers will be in read-only mode... so changes to customer LDAP entries will not work.

Barring any unforeseen accidents, all servers should be back in action well before the 6am deadline.

The maintenance to be performed involves moving the Exchange servers into other organizational units (OU's) within Active Directory. These OU's have existing policies and as such, require the cluster to be taken offline.

Due to a hardware problem, the Outlook Exchange Server will be unavailable starting at 12:30 on Wednesday August 2nd. The repairs are expected to take about 1 hour and the server should be back online by 1:30. During the outage you will still have access to your calendar, contacts, tasks, and any old E-mail while outlook is in offline mode. You, however, will not be able to send or recieve any new e-mail during this time.

About 36,000 employees, student employees and others associated with the university were on the database that included names, addresses and Social Security numbers. Those on the database were employed by UT on or before August 2005.

The hackers' activities occurred during a nine-month period, from August 2005 to May 2006.

"Although we have no indication the hacker accessed or used the personal information, we are taking the precaution of notifying everyone whose information was on the database and urging them to take steps to protect themselves," said Brice Bible, assistant vice president for information technology.

"We regret that this has happened and have conducted a thorough investigation. Every precaution is being taken to safeguard security, including a thorough review of file storing and sharing and strengthening security measures in the affected area," Bible said.

UT has set up a toll-free hotline to help answer questions for affected persons. That number is (866) 748-1680. The help line will be operational Monday through Friday from 8 a.m. to 6 p.m. EST, starting July 7. Affected persons can find additional information at UT's Information Security Office Web site, http://security.tennessee.edu.

Exchange (Tmail) system was back online

As of 4:30 p.m., 6/2/06, the Exchange (Tmail) system was back online.

IBM field engineers were able to complete repairs on the disk storage by
around 4:10 p.m. on 6/2/06 and made the storage available to the
Exchange servers. Shortly afterwards, Exchange was brought online, with
all message stores available by 4:30 p.m.

There were several thousand messages that were queued up. It is likely
to take many hours for all queues to be completely flushed but no email
is likely to have been lost. Outlook clients may have messages in the
Outbox waiting to be sent when the client is back online. Those messages
should be sent upon connection to the Exchange system.

OIT staff will continue to monitor the email system closely over the
weekend.

storage issues.  Overnight, OIT staff and IBM field engineers made much
progress and now hope to be done by noon today.  At that time, OIT staff

To provide more efficient customer service, we will be consolidating the two OIT HelpDesk numbers and removing all of the options from the phone menu on April 20th. The number 974-9900 will now be the single HelpDesk number for students, staff, and faculty and 974-9800 will be phased out.
Also, we have added additional consultants to the HelpDesk to improve support. We will also be providing a voicemail box so customers can leave a message after hours. The voicemail box will be checked the next business day.

Microsoft Window's Metafile (WMF) vulnerability

There is a vulnerability in the way some versions of Microsoft Windows interpret Windows Metafile (WMF) images. This flaw can allow an attacker to gain control of a system when the user views or indexes a specially-modified WMF image through nearly any method. At present Windows XP (SP1 and SP2) and Windows 2003 are affected by currently circulating exploits. All versions of Windows are vulnerable and may be affected to some extent.

Microsoft has created an advisory for this problem and plans to provide a remedy on January 10th. Until this is available, McAfee has included a definition that will detect WMF files attempting to take advantage of this vulnerability.

In a listserv message, IT Manager Elmer Baumgardner recommends "Make
sure the McAfee definitions are up-to-date (currently 4667). If you are
not currently running version 8.0 we recommend you download and install
this version at antivirus.utk.edu. This version blocks code execution
as a result of a buffer overflow if a malicious file is opened in
Internet Explorer or Windows Explorer. Although this will not provide 100% protection, it will provide some until Microsoft distributes a patch."

Also, IT Administrator AJ Wright cautions against the use of third party (non-microsoft) patches since these may cause future vendor updates to fail.

Effective July 5, 2005, hardware orders to Dell will be handled by each department rather than through OIT's Business Office. This process change does not replace any internal ordering processes that may exist within your department or unit.

Faculty and Staff of The University of Tennessee should go to http://oit.utk.edu/hardware/ and under Price Lists choose Dell. Once your have authenticated by entering your NetID and Password, you will then be able to choose a pre-configured machine or you can configure your own and save as an e-quote. After receiving the appropriate departmental approvals, you can then release your e-quote directly to Dell. Once Dell has received the e-quote, the individual releasing the e-quote will receive an acknowledgement from Dell with a Dell order number for tracking.

New E-Mail Worm Targets Hole in Internet Explorer

SAN FRANCISCO (Reuters) - Anti-virus companies warned on Thursday of a new computer worm circulating through e-mail that purports to be security software from Microsoft Corp. but actually tries to disable security programs that are already running.
The worm, dubbed "Swen" or "Gibe," takes advantage of a two-year-old hole in Internet Explorer and affects systems that have not installed a patch for that security hole, according to Internet security company Network Associates Inc..
The malicious program arrives as an attachment to an e-mail pretending to contain a patch for holes in Internet Explorer, Outlook and Outlook Express and then mails itself off to addresses located on the victim's computer.
The worm also can spread over Internet relay chat and the KaZaa peer-to-peer network, as well as copy itself over shared networks, Network Associates said.
When it infects a computer it alerts a Web site that appears to be counting the infections, according to Symantec Corp., another Internet security outfit. The number of the counter was near 760,000 by Thursday afternoon.
Network Associates rated the worm a low risk for corporate users and a medium risk for home users. The company and rival Symantec, among others, were offering anti-virus updates that detects and removes the worm.
Microsoft has cautioned customers in the past against e-mail software updates, saying it does not distribute patches that way but rather directs them to its Web site.

DMS wins Team Excellence Award

Digital Media Service (DMS) has received this semester’s Team Excellence Award sponsored by Human Resources. DMS, formed in May 2001, is the result of a unique collaboration between the Office for Research and Information Technology (ORIT) and the University Libraries. The primary role of the Digital Media Service (DMS) is to meet the growing need for digital materials in support of instruction at the University of Tennessee. DMS provides digital conversion, storage, and delivery of media to faculty across the main campus in Knoxville and throughout the statewide university system via secure streaming servers and the Internet. The Digital Media Service also assists faculty in securing copyright permissions and offers referrals to related media production and technology services. The long-range goal of the Digital Media Service is to provide a single point of service for all of the digitization services UT will require in the future. Mark Hipshire of the Technology Evaluation team, Customer Technology Support recently completed training and certification as the Internet2 Commons Site Coordinator for the UT Knoxville campus.  The Coordinator will provide a "best effort " H.323-based videoconferencing support service for not only our campus but for other Internet2 members in our region.  Support will primarily be peer-based, using email lists and web pages to share experiences, best practices, and user documentation.  For more information about Internet2 Commons and the Site Coordinator duties, please go to http://commons.internet2.edu/.

OIT will require users to register their wireless card on the network beginning next Monday evening, June 17th. To register, you simply need to open up your web browser (IE or Netscape) and you will automatically be directed to the network registration site, http://netreg.utk.edu . Click on the wireless registration link located on the left hand side of the page and follow the instructions. If you are not directed to the website, just point your browser to http://netreg.utk.edu .
