Purchasing a Blackberry
Your department may purchase a BlackBerry device from Telephone Services. Please visit http://oit.utk.edu/phone/cellphone for more information.
Activating a Blackberry
To activate your Blackberry, please contact the OIT HelpDesk at 974-9900.
Customizing the Blackberry for First Time Use with Exchange
It is important to note that there are different versions of the Blackberry device and these instructions may not be exactly right for your particular model. Therefore, you might have to refer to the instruction manual that came with your device for exact instructions on how to perform these functions.
After activating your BlackBerry to the UT Exchange Server, there are a few settings you will want to configure before using your device:
Changing the Date and Time
After activation, your BlackBerry device will most likely not have the right Date and Time. Use your scroll wheel to go to options. Then go to Date/Time. Choose the appropriate date/time.
Setting up Synchronization
Click on the mail icon. Then click Options. Click Email Reconciliation. There are three settings you can configure.
Setting 1 . Delete On
Under Delete On, you will notice there are three options listed.
Handheld
If you delete something from the BlackBerry, it will NOT delete the email from the server and the email will still be in your inbox in your client.Mailbox & Handheld
If you delete something from the BlackBerry, it WILL delete the email from both your blackberry device and the server, meaning the email will no longer be in your inbox.Prompt
If you choose the prompt option, it will ask you everytime you delete something from your BlackBerry to choose to delete On Mailbox and Handheld or just on the Handheld.Choose the option you would prefer.
Setting 2 . Wireless Reconcile
The next option on this screen is Wireless Reconcile. You can choose to turn it Off or On. You want to make sure it is ON or else it will not communicate with the server.
Setting 3 . On Conflicts
We recommend you choose Mailbox wins.
Setting Filters
You can set filters to help manage the email that comes to your BlackBerry. For example, you might only want to see emails from @utk.edu address on your BlackBerry. You can filter based on From, Sent to, Subject, and Message. To set up a filter, click on the mail icon. Then click Options. Then click Email Filters.
One of the most popular filters is a Sent Mail filter. If you do not set a sent mail filter, all of the email that you send from your desktop will come across on your BlackBerry. Most people do not want to see a copy of their sent mail! You can easily set up a filter to weed out the sent mail.
Click on the mail icon. Then click Options. Then click Email Filters. Click New. Then put something in the Filter Name field (we recommend Sent Mail Filter but it doesn't matter). Then in the From: section, put in your email address. Then save the filter.
You can set additional filters as well.
Other Features and Functionality
Address Book
You can sort your address book by First Name, Last Name, or by Company Name. Just go to your Address Book. Click the scroll wheel and go to Options. Then click on Sort By and choose the option you wish and save.
Troubleshooting
What do I do if I stop receiving emails and/or it doesn't seem to be synching correctly?
First, check the OIT website at http://oit.utk.edu/ to make sure there has not been an outage or problem reported. If there is nothing reported, we recommend first that you take the battery out and wait a few seconds and then put the battery back in. Most cases, this will fix the problem.
You can also try doing a soft reboot. Hit control (the key that looks like a half moon on the left side of the BlackBerry), then cap, then delete and continue holding all three keys until the screen goes blank.
I am having problems with the "phone" part of my Blackberry. Who can help?
If you are experiencing problems with the voice part of the phone (i.e. won't make calls, dropped calls, problem with hearing your calls, static, etc.) and your phone is a University provided device, please contact Telephone Services at 974-3121 or email celladm@utk.edu. If your phone is not provided by the University, please contact your service provider directly.
I am having problems with the email, calendar, or address book part of my Blackberry. Who can help?
If you are having problems with synchronization of your email and/or calendar or have a question on how to use your device, please call the OIT HelpDesk at 974-9900.
I am no longer going to use my Blackberry. What should I do?
If you lose your device or choose to stop using your device, please contact the OIT HelpDesk so that we can remove your device from the Blackberry Exchange Server.
If your Blackberry is a University-provided device, you must contact Telephone Services at 974-3121 or email celladm@utk.edu if you wish to cancel service or if your Blackberry is lost or stolen.
