Exchange
Microsoft Exchange is the name of the new email, calendaring, and groupware system at UT.Tmail
Tmail is the branding, or the name, that UT has chosen for the Exchange system. It is also the address for the Outlook Web Access page from which you can access your Tmail Exchange account https://tmail.utk.edu/.For the most part, "Tmail" and "Exchange" can be used interchangeably when referring to the UT email and groupware system.
Outlook
Outlook is a client that you can use to connect to the Tmail Exchange system to check your email, edit your calendar, etc. A client is something that runs on a computer and connects to a server (such as our Exchange server, in this case). Outlook 2003 is the latest Exchange client for Windows. For Mac OS, Entourage 2004 is the latest client, and for Linux systems, Evolution is the client. You can also connect through the web, by using the Outlook Web Access page. - How long can I keep my email account after leaving UT? What are the account retention policies for students, faculty, and staff?
Students, faculty, and staff will retain their Exchange account one calendar year after their LeftUT date in the UT Directory. At the end of this year, the user's account and all forwarding will be deleted. For this reason, we recommend that every person who leaves UT set up email forwarding at the Tmail Acccount Management page as soon as they leave UT.
- How do I forward all of my Exchange mail to another email account?
To set up mail forwarding for Exchange, visit the Tmail/Exchange Account Management page and click "Manage Your Exchange Account."
- Can I forward all of my Exchange mail to multiple accounts?
This is not currently possible in Exchange.
- What is the maximum attachment size for the UT Exchange email system?
The maximum size for email attachments is 50 MB.
- I have many messages in my mail folders, and my Tmail email account seems to be running slow. What is going on? (What is the maximum recommended number of messages per folder in Exchange?)
The recommended maximum number of messages per folder in the Exchange system is 3000. Any more can cause significant slowdown, not just for you, but for then entire Exchange system.
- Is there a size quota for Exchange accounts? How big is my quota?
There are three quota levels. Exceeding each quota level has different results. The results for each level are as follows:
- Level 1: User will receive daily notification emails stating the the user must reduce mailbox size. Notifications will continue until mailbox size is under Level 1 quota.
- Level 2: User will not be able to send mail until mailbox size is under Level 2 quota.
- Level 3: User will not be able to send nor receive mail until mailbox size is under Level 3 quota.
Quotas for Undergraduate Students:
- Level 1: 102.4 MB
- Level 2: 128 MB
- Level 3: 153.6 MB
Quotas for Faculty, Staff, and Graduate Students:
- Level 1: 256 MB
- Level 2: 281.6 MB
- Level 3: 307.2 MB
- How do I check the size of my Tmail mailbox?
To check the size of your mailbox (for example, to determine if you are near quota) do the following:
- Go to the Exchange Account Management page.
- Click on the "Manage Your Exchange Account" link
- Login using your Exchange account name and password
- Click "Check Mail Quota"
- Is my Exchange password the same as my NetID password?
No, your NetID password and your Exchange password are distinctly different. It is possible to set them both to the same password; however, when one is changed the other is not. You will receive separate notices when each one is about to expire.
To manage your Exchange password, visit the Exchange Account Management page.
To manage your NetID password, visit the Directory Services page.
- Will my Tmail/Exchange password expire? How often? Will I receive a notice like I receive when my NetID password is about to expire?
Your Exchange password will expire after 180 days. You will recieve a notice every day, starting 14 days before your password expires, telling you that your password is about to expire. If you choose to let your password expire, you will not be able to access your email until you reset your password.
- How do I reset my Exchange (Tmail) password?
To manage your Exchange password, visit the Exchange Account Management page and click "Reset your Password." Here you will be able to enter your NetID and password to verify your identity and change your Exchange password.
IMPORTANT NOTE: When changing or resetting your Exchange password, be sure to close all of your open clients (e.g. Outlook, Entourage, Evolution, and OWA). Failure to do so will result in being locked out of your Exchange account.
