Interested in webcasting your event?

Webcasting, sometimes called streaming, is the process of transmitting video images and audio signals over the internet in real time. Any event can be webcast but it is particularly useful in academic settings. Special lectures, symposia, and colloquia occur regularly across campus and feature outstanding local and visiting national and international speakers. These events are ideal for webcasting. First, webcasting allows those individuals unable to attend in person to watch the proceedings from their office or home. Secondly, if you miss the event entirely you still have the ability to watch the archived file later at your convenience. Thirdly, webcasting opens your event to the entire world and enhances the national and international reputation of the University of Tennessee. Anyone with a high speed internet connection has the ability to watch the webcast.

IT Engineering Services (ITES) offers complete webcasting services and/or consultation to Colleges, Departments, and Faculty organizations. Simply complete this form (PDF - requires Adobe Reader) and deliver or fax it to ITES, or simply call 974-5272 and one of the staff will walk you through the questions.

Here's the information we need:

1. Who's responsible? Identify the person(s) with overall responsibility for the program. This could be a faculty member (we'll need his/her NetID) or a representative of a sponsoring organization. We will need basic contact information like phone and email.

2. Account? A valid UT account number will be required for transfer voucher billing purposes.

3. When and where? When and where will this event occur? Normally this must be a location on the UT Knoxville campus. Travel expenses will be incurred for off-campus events.

4. Internet? Does the location of the event have a high-speed internet connection - T1, DSL, LAN, etc.? Are you sure that the connection is active? NOTE: Video streaming is not possible over a dialup modem.

5. Synopsis? Give us a brief synopsis/description of the program content. We will use this information on our web page to advertise the event.

6. Event contact? Identify the person(s) responsible for directing the event. This is the person we should contact with general questions about the event format, the speakers, etc. We will need basic contact information like phone and email.

7. Technical contact? Identify the technical support person(s) responsible for the room where the program is to occur. We will need basic contact information like phone and email.

8. Media? Will you be using any additional media during the presentation? This would include such things as PowerPoint, slides, video, or direct access to the Internet.

9. Copyright? We will need copyright clearance for any materials used in the presentation which are not the specific creation of the sponsor or the presenter. This would include things like video clips, slide images, etc.

10. Release? In all situations a signed release from the speaker giving UT permission (in perpetuity) to webcast, record and archive for later playback the presentation will be required.

11. Questions? Will you allow questions from the audience? This helps us know how many microphones will be needed.

12. Hosting? Do you want us to host a digital copy of the program on our site? You will automatically receive one month of hosting as part of the hourly fees. Additional months will be billed at the current rate.

13. Copy? Do you want a copy of the original DV tape? What about a digital copy? Both are included in the hourly fee for the webcast.

14. Press Coverage? Will the news media be attending? Do they have any special requirements or expectations?

15. Audience? A projected number of online viewers is helpful. This allows us to estimate the impact on the network and plan accordingly.

16. Editing? Will you require additional editing of the raw footage? This might include adding title pages or credits, adding additional media within the recording, or breaking the event into multiple sections. The basic webcast fee will provide a generic DMS title page only.

17. Travel? Is your event located off-campus? Will it require our staff staying overnight off-campus?
