Digital Media Services



During a recent audit of Digital Media Services (DMS) processes, the Office of Innovative Technologies (OIT) and UT Libraries determined the need to update our video digitization procedures. Please read carefully and consider how these changes will affect the planning of your course.

OIT’s Digital Media Services (DMS) provides support for instruction through the production of high-quality videos and the digitization and conversion of course materials into usable media formats. Digitized videos are hosted for a limited time on secure, OIT-supported hosting solutions. 

Video Production Services include:

  • Production of high-quality videos for departments, colleges, or at the university level:
    • Non-credit courses, certificates, or training initiatives
      • Face-to-face or online
    • For-credit courses
      • Face-to-face only
    • Hosting of videos produced by OIT on Panopto or the provision of an MP4 file for you to share elsewhere (YouTube, Facebook, etc.).
    • Timing can take several weeks to months to produce. Reach out to the OIT HelpDesk to begin the request process.

Digitizing and Media Hosting Services include: 

  • Access to OIT-hosted content, currently powered by Panopto.
  • Audio digitization
  • Video hosting
    • DVDs and BluRays
    • NOTE: we no longer digitize VHS tapes
  • Text scanning
  • Image scanning (2D artwork and photographic prints)
    • NOTE: we no longer digitize 35mm slides or other analog film as of June 8, 2022. Recommendations for local vendors available upon request.

How do I request services?

Complete the Media Digitizing Request online. For digitization requests, you may request multiple films/books in the same request form for the same class(es). You do not have to submit individual requests for each film.

Review the new information and guidelines when requesting digitized videos for course materials.

Request a consultation or training if you need advice on how to capture, host, or manage video content. 

How long does it take?

Our standard turnaround time varies depending on the service requested.

  • Video Production: Depends on your needs and the scope of the project.
  • Digitizing and Media Hosting Services: Depending on the size and scope of your request.
  • Please note: text, image, and artwork scanning can take several days to weeks to complete.

How much do these services cost?

Video Production: Departments, faculty, and instructors can request video production support at no additional cost. Videos must be used in support of face-to-face or online non-credit courses, certificates, or training initiatives or face-to-face for credit courses.

Digitizing and Media Hosting Services: Faculty and instructors can request instructional support materials digitized at no additional cost. These materials must be used in courses in which UT students are enrolled and are receiving credit toward a degree. Faculty must provide the course name and number.

Video production and digitizing requests for research, promotion, or other non-curricular uses by faculty, staff, or departments may require a fee-for-service based on the parameters of the request.

How do I access the content?

When your materials are ready, you will receive a URL to your streaming audio and video. This link can be added to your Online@UT(Canvas) course site to limit access to just the student enrolled in your course or embedded into a web page to share your content publicly depending on the need.

Can my materials be saved to a thumb drive or other portable storage?

OIT media requests follow copyright laws. Digitized material can only be saved to personal storage devices if you hold the copyright to the material.

What if I don’t hold the copyright on the materials I want to have digitized?

If your request exceeds fair use, you will need to request permission to use the material from the rightsholder. For more information about copyright and fair use, see our Copyright page.
